1. Who is responsible
Inge Steemans, trading as Mothers and Sisters (KvK 93502702), is responsible for your personal information. Legal name and address: Inge Steemans Coaching and Consulting, trading as Mothers and Sisters, Prinses Marijkestraat 75, 2595 TL The Hague, Netherlands. Contact: hello@mothersandsisters.com.
2. What we collect
- Your name and email address.
- Your telephone number, if you give it.
- The languages you can comfortably follow.
- Your group, booked dates, booking type and amount.
- Payment and invoice references from Stripe. We do not see or store your card details.
- Your WhatsApp and newsletter choices, and when you made them.
- The version of the terms you accepted, and when.
- Billing details you enter in Stripe’s checkout (billing name, address, and optionally company name and VAT number). We use these only for payment, your invoice and our accounting records.
- For six-week bookings with a European delivery address, whether you qualify for the welcome bag and its shipping address (your billing address, or a different one you give us). We use it only to deliver the bag.
- Technical information needed to run the site securely, such as IP addresses and request details processed by our hosting provider and by Stripe during checkout.
The booking form never asks about diagnoses, symptoms, medications or health histories.
3. Why we use it, and on what basis
- Your booking, the circles and essential emails (dates, joining details, changes): to perform our contract with you.
- Payments, invoices and bookkeeping: to perform the contract and to meet our legal accounting and tax obligations.
- WhatsApp group: only if you choose to join, based on your consent.
- Newsletter: only if you tick the box, based on your consent.
- Security and preventing abuse or fraud: our legitimate interest in keeping the service and your data safe.
Accepting the Terms & Conditions is not consent to every use described here. Your WhatsApp and newsletter choices are separate.
4. What you share in a circle
You decide what to share during a circle. Stories may reveal sensitive information about your health or that of others. We do not record sessions, make transcripts, use AI meeting notes or keep summaries of what was shared, and we do not reuse participants’ stories in marketing without separate, appropriate permission. Please do not record these sessions. These are in-the-moment gatherings, and we respect each other’s privacy and vulnerability. A meditation sent separately contains no other participants’ voices, stories or identifying details. Accepting the booking terms is not consent to process health information. [to be confirmed: legal assessment of the live-sharing setup, including whether explicit consent is needed].
5. WhatsApp
Inge creates a separate WhatsApp group for each circle and only invites participants who chose to join. Other members can see your telephone number and profile information, depending on your WhatsApp settings. Its purpose is to share event information and updates, and allow voluntary sharing within your circle’s WhatsApp group. Please do not post detailed health histories or information about other people. No one is added automatically; we record your choice and when you made it. All essential information is also sent by email. You can leave the group at any time; this does not cancel your booking. Messages already received by other members cannot be guaranteed to disappear. WhatsApp is provided by Meta and its own privacy terms apply.
6. Newsletter
If you opt in, we send news about upcoming Mothers and Sisters events, product launches and content about the wellbeing of women and mothers. We only send it if you ticked the separate box. You can unsubscribe at any time using the link in each newsletter or by emailing hello@mothersandsisters.com. Unsubscribing does not affect your booking. Newsletter provider: not yet selected; no newsletter is sent until one is in place.
7. Who receives your information
- Stripe (payments and invoices). Stripe may transfer data outside the EU under its own safeguards, such as the EU Standard Contractual Clauses.
- Lovable (website builder and host), which runs the site on Cloudflare’s network and provides the managed database where bookings are stored. Data locations and transfer safeguards: [to be confirmed: confirmation from Lovable].
- Google (Gmail) for email correspondence with Inge at hello@mothersandsisters.com.
- Google Meet for the online sessions, which processes your name, video and audio while you take part.
- Automatic booking emails: not yet configured. [to be confirmed: provider].
- PostNL delivers welcome bags, using your name and shipping address.
- WhatsApp (Meta), only if you join.
We never sell your information. International transfers and safeguards for each provider: [to be confirmed: verification per provider].
8. How long we keep it
- Invoices and payment records: as long as Dutch tax law requires (generally seven years).
- Booking details, language preferences and telephone numbers: up to 12 months after your final session, unless a complaint or claim is open.
- Shipping addresses: removed from our delivery records within 3 months after delivery and any issue is resolved; copies needed for accounting are kept with the invoice records.
- General enquiries: up to 12 months after they are resolved.
- WhatsApp groups: closed within 3 months after the series ends, unless an ongoing community is offered and you choose to stay. We cannot erase copies already held by other members.
- Newsletter subscription: until you unsubscribe, with a review after 24 months of inactivity; we then keep only what is needed not to contact you again.
- Security logs and records of consent and accepted terms: security logs for about 90 days where our providers allow; consent and accepted-terms records for 5 years after the relationship or consent ends. A legal hold overrides these periods.
9. Your rights
You may ask to access, correct or delete your information, restrict or object to its use, and receive a copy of it. Where we rely on consent, you can withdraw it at any time. Email hello@mothersandsisters.com and we will reply within one month. Some records, such as invoices, must be kept by law. You may also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in your own country.
10. Security
Your booking information is stored on secured servers that only the organiser can access, and payments are handled by Stripe. No system is completely secure, but we take reasonable measures and will act promptly if something goes wrong.
